Job Description

Job Summary/Goals

Provide overall responsibility for process administration support, project manager support, logistics, and technical analysis to determine present and future operational performance for the platform. Gathers, analyzes, prepares and summarizes platform status in terms of Pay for Performance metrics.  Evaluates budget performance, expenditures, and operational effectiveness.


Essential Duties and Responsibilities:


Performance and Processes

  • Optimize, implement and successfully manage project support functions to achieve maximum results in efficiency and quality standards.

  • Manage the day-to-day activities of the project support process to maximize assurance of flawless execution and best practices implementation.

  • Work with Training Program Lead to manage the employment and training of project support staff.

  • Analyze and implement process flow improvements, to include capabilities for growth.

  • Develop and oversee implementation and administration of client policies, PMO systems and procedures.

  • Determine optimum staffing model for the department.

  • Maintain and improve process efficiency and quality standards adherence.

  • Responsible for staff adherence and improvement using both the dedicated and variable models.

  • Manage project support personnel: Work allocation, training, and problem resolution.

  • Evaluate employee performance and motivate to achieve peak productivity.

  • Work with Performance Manager to implement new or revise current processes and procedures


Analytics

  • Lead responses to patterns, turn data into information, information into action and action into value

  • Responsible for Maintaining various data sources and dashboards

  • Prepare PFP and other performance data

  • Develop tools for PMO analysts and LOB

  • Build automation validation routines for data integrity

  • Develop high quality, compelling PowerPoint presentations and Excel analysis

  • Lead team to deliver recurring reports

  • Provide analytical support to transform PjM behaviors and techniques

  • Variation analysis/Metrics analysis leading to a proactive approach.

  • Play a core role assessing Project workload, bidding process, and monitoring phased funding.

  • Evaluate and analyze various forms of data to ensure the accurate forecast of milestone information.

  • Conduct complex analyses of data and provide concrete recommendations for process improvement, and demonstrate experience working on cross functional teams


Operations

  • Optimize, implement and successfully manage project support functions to achieve maximum results in efficiency and quality standards.

  • Lead the operations team (project Coordinators) to ensure proper management of day-to-day activities of the project support process and maximize assurance of flawless.

  • Maintain and improve process efficiency and quality standards adherence.

  • Manage project support personnel: Work allocation, training, and problem resolution.

  • Work with Operation Lead to implement new or revise current processes and procedures and update all operations procedure manuals


Skills / Competencies

  • Logical thinker with good common sense

  • Strong analytical ability, both financial and qualitative

  • Very strong communication and negotiation skills to ensure desired outcomes.

  • Proven ability to communicate professionally in a corporate environment, work in cross-functional collaborative teams and implement organizational change management.

  • Ability to build strong and trusted relationships with a wide variety of Executive Level Business partners.

  • Ability to handle multiple tasks, manages time effectively, and establishes priorities to meet deadlines in a fast paced team environment.

  • Excellent computer and presentation skills, including proficiency in Microsoft Office Products (PowerPoint, Excel and Access required).


Experience

  • 5+ years of experience in large scale enterprise operations and delivery of services.

  • Demonstrated previous success with definition, implementation and ongoing management of processes and best practice implementation.

  • 3+ years process management experience.
