JLL is currently seeking an Executive Assistant to join its Hotels and Hospitality Group in Toronto. The chosen candidate will work with a diverse group of stakeholders at all levels of the organization, and will require the independent judgment to plan, prioritize, and organize a diverse workload in a fast-paced environment. This role provides a wide variety of support services to the brokerage team and the successful candidate will be detail oriented with strong organizational skills and a team player attitude.


•        Responsible for day-to-day administrative aspects of hotel advisory projects and/or transactions process (pre-marketing, marketing, negotiation & closing)

•        Perform administrative duties (filing, photocopying, and faxing) and other team projects in an efficient and timely manner

•        Complete word processing tasks (correspondence, reports, memos, proposals, charts, agreements, etc.)

•        Create and maintain client lists in excel for professional team during assignments

•        Create and maintain electronic and hard-copy filing systems

•        Assist with billing and invoicing and ensure proper supporting documentation

•        Track and manage contractual requirements

•        Attend departmental meetings. Record, type and distribute minutes

•        Attend meetings or conference calls with professional team. Record, type and distribute minutes

•        Respond to requests for information and communicate with other departments with minimal supervision

•        Manage customer relationship management and other databases (Salesforce, hotel trades, new supply) including data gathering and reporting functions.

•        Assist with professional team time & expense reporting

•        Assist with professional team’s calendar management

•        Assist with professional team’s travel, meeting requests / bookings

•        Assist other team members as necessary

•        Maintain a professional work environment

•        Maintain email distribution platform (Eloqua)

•        Coordinate and manage team and client events under professional team’s guidance.
