Job Description

The Event Coordinator will need to be an experienced, take-charge professional with the ability to support logistics and resources for internal client events on an active, well-known high-tech campus.  This person will be responsible for the physical setup of events, such as all hands meetings, seminars, conferences, and social gatherings.  The Event Coordinator must maintain a high level of customer service at all times and be agile in responding to last-minute client requests.  
Primary Responsibilities:

  • Be comfortable doing event setup of furniture, such as table and chairs. Event range in size from 25 to 500 people normally.
  • Work well within a cross-functional team and represent Jones Lang LaSalle with a positive, professional, and pleasant attitude
  • Support guests and customers in person or by telephone, answer questions or directing inquiries as needed
  • Collect event information from internal clients in support of event setup & A/V needs.
  • Coordinate work with vendors and ensure PO’s are requested and issued in a timely manner
  • Support  the weekly event schedule for the A/V & Events team
  • Respond quickly and effectively manage last minute client requests
  • Inform upper management of important, executive-level client events and complaints
  • Maintain customer confidence and protect the Operations team by keeping information confidential when needed

Service Delivery

  •  Seeks to continuously improve processes, systems, and overall client satisfaction
  • Provides direction/information to clients, facilities staff, and vendors as required to ensure excellent coordination/execution of work within client environment with minimal disruption

Financial Management

  •  Support facility-specific cost savings targets to contribute to the account’s significant savings goals in year one and two of outsourced operations
  • Support all requests associated with Jones Lang LaSalle Management, Operations, and Financial audits


  • Must have at least 2 years of experience in a customer-facing role with strong skills in public relations and addressing customer complaints
  • Basic computer skills (Microsoft Word, Outlook), specifically related to event scheduling. Must have the ability to multi-task and work within a fast-paced environment
  • Ability to identify issues, solve problems, and make good decisions quickly to ensure the success of client events
  • Detail-oriented and have strong organizational skills
  • Strong verbal and written communication skills
  • Must be a strong team player and support the A/V & Events Manager as needed
  • Inspect meeting rooms to ensure the condition of the room is 100% satisfactory and no repairs are needed for anything in the room
  • Clean whiteboards and wipe meeting table down as needed
  • Drop fresh marker and erasers as needed when inspecting rooms
  • Push the chairs in to table and straighten room up ​
