Job Description

  • Meet all client goals for KPIs and conform to MSA requirements

  • Subcontracts
    • Define scope for all subcontractors
    • Identify qualified vendors that can comply with MSA and KPI requirements
    • Obtain bids, and work with contract manager as needed
      • Support cost reduction initiatives
      • Provide analysis of cost proposals and recommendations
    • Inspect the quality of service, and address all deficiencies
    • Manage security process
    • Specific subcontractors to be managed include housekeeping, recycling, and others

  • Client representation
    • As directed by the Facility Manager and client Real Estate Services Director, represent organization to internal business units and support organizations, and to external organizations including landlords.  Respond promptly to information requested.

  • Upkeep of facilities
    • Manage the upkeep of the facilities, including -
      • Cleaning
      • Painting
      • Carpentry

  • Work orders
    • Receive and respond to all work orders and building issues
    • Act as interface with client on all work orders
    • Keep work order system current
      • Timely completion of work orders
      • Accurate equipment list and call out contacts

  • Moves
    • Manage all moves/adds/changes (MACs) from start to finish, including post move/relocation concerns
    • Maintain eSpace records

  • Finance/accounting
    • Create purchase orders for goods and services needed
    • Assist accounts payable in prompt payment and problem resolution
    • Assist in development of annual operating and capital budgets
    • Analyze and report on budget variances monthly
    • Manage expenses to budget

  • Key Internal Relationships
    • Support Facility Manager in developing positive working relationships with Security, IT, mailroom, and other client business units

  • Small projects
    • Responsible for all aspects of coordinating and completing small projects (and third party vendors) and interfacing with assigned Project Managers and engineering as the site advocate to minimize disruption within the site relating to tenant improvements and capital projects

  • Recycling/sustainability programs
    • Implement company-wide sustainability programs including –
      • Recycling
      • Lighting controls
      • Energy conservation

  • Furniture
    • Manage upkeep, maintenance, and cleaning of furniture
    • Respond to ergonomic evaluation and purchasing requests

  • Engineering oversight
    • Support all preventative maintenance for critical equipment, such as a generator, computer room air conditioners, and uninterruptible power supplies
    • Support all requirements in order to pass client Engineering Services audit
    • Responsible for after-hours response for all building and critical equipment

  • Manage other facility services
    • Room set-ups
    • Parking
    • Vending
  • Improving customer service
    • Implement specific actions to improve
      • customer service,
      • reduce operating costs, and
      • increase facility infrastructure availability/reliability


Education

  • College graduate or equivalent work experience in Facilities Management with management/technical emphasis

Technical Experience

  • Proficient in the use of personal computers with working knowledge of Microsoft Office software including Outlook and the internet

Other Requirements

  • Three (3) to Five (5) years’ industry experience required in real estate, facilities, or engineering
  • Knowledge of furniture systems and ergonomic issues helpful
  • Strong organizational, written and verbal communications skills.
  • Strong financial and administration skills
  • Willingness to work extended hours and spend significant time on-site outside of the normal hours
  • Willingness to take calls at any hour of the day or night and at all times be a contact in the event of an emergency
  • Must have reliable transportation on an as-needed basis
  • Must have a well-groomed and professional appearance at all times
  • Occasional lifting required

Supervisory Experience

  • Although there are no direct reports, must have the critical skill of being able to effectively manage and complete assigned responsibilities through the use of subcontractors
