Associate, Occupancy Planning, San Francisco, CA

Note: This role is for corporate workplace planning and space data management, versus design-focused candidates.

Currently, we are seeking an Associate, Occupancy Planning (Space Data Management) to join our Occupancy Planning practice dedicated at the client site.

Supports the occupancy planning function by leading Space Data management activities. Maintains current, accurate, departmental-level occupancy information within the planning database, and capture new hire / terminations, and post-move space assignments. For a department, can answer who sits where, and what is the status of a given project move? Specifically, the responsibilities include:

  • Coordinates with Move Coordination / Facility Management to document the actual occupancy of a department after a project move is complete;
  • Manages daily MAC space data updates within Client CAFM system; incorporates churn-related information (M-A-Cs completed by Move Coordinator / Facility Management / Others)
  • Participates in Audits (including seat assignments, occupancy, vacancy, as-built conditions)
  • Assists other planners in planning-related initiatives and project move planning;
  • Provides occupancy information to appropriate parties while participating in project move meetings; and
  • Assists the compilation of quarterly space data reporting and analyses
  • Field verifies occupancy planning space data
  • Reports, plans and spreadsheets required to support the planning organization for its internal processes or to facilitate decision-making by departments on a campus or within a building; and
  • Manages the churn report by department and building.

To ensure accurate reporting of information, and foster critical relationships between various individuals and organizations, communication channels will exist with:

Department Managers and/or Administrative Assistants to collect seating assignments; Move Coordinator(s) to monitor the progress of a project move; and Occupancy Planner(s) to review and resolve campus / building-specific forecasts and needs.



Education / Years of Experience

Bachelor's degree in business, architecture, construction management, commercial interior design or a related field with up to three years of experience in a corporate environment.
