Job Description

We are currently seeking an Administrative Assistant to support our Capital Markets Finance group in New York, NY. This role will provide full administrative and production support for the team. Duties performed may include a broad range of complex tasks involving detailed and confidential information. This position requires a person who can be responsible for prioritizing projects in order to meet multiple deadlines in a fast-paced, team-oriented environment.


Responsibilities include:

  • Screen/direct a high volume of telephone calls and respond to email requests/inquiries
  • Organize and track client opportunities and prepare engagement letters
  • Coordinate calendars, make reservations, schedule conference calls, car service, travel, entertainment
  • Process expense reports for Office Leads and other senior team members as directed and on a regular/timely basis.
  • Coordinate meetings and organize corporate events
  • Photocopying, scanning, mailing and faxing documents.
  • Must be versatile, professional, a quick learner, obtain strong organization/communication skills
  • Proactively anticipate upcoming projects and needs of supported manager(s) by prioritizing, communicating, and balancing the workflow; Show initiative in taking ownership of all projects through completion   
  • Work independently with minimal supervision; Have the ability to work with all levels of management
  • Complete special assignments on an as-needed basis

QUALIFICATIONS AND EXPERIENCE

  • Bachelor’s Degree or equivalent business experience
  • Prior experience supporting multiple people, preferably in the commercial real estate industry or other professional services organization

 
KNOWLEDGE, SKILLS, AND ABILITIES

  • Strong organizational and communication skills
  • Thrives in a fast-paced environment, managing multiple responsibilities at one time
  • Must be flexible and highly motivated with a willingness to take initiative and work both independently and collaboratively with teammates
  • Excellent follow through, must be a taskmaster and have a thorough attention to detail
  • Develop effective and constructive solutions to challenges and obstacles with the ability to complete projects on time, often with a short lead-time
  • Resourceful self-starter and pressure-durable
  • Assert discretion and professionalism with confidential information
  • Proficiency with Microsoft Office applications required (Word, Excel, PowerPoint), experience with Adobe Creative Suite/Creative Cloud a plus (InDesign, Illustrator, Photoshop)
  • Adaptability and willingness to learn new software, databases and in-house platforms
