Job Description

JLL is currently seeking a professional to provide administrative support in Richardson, Texas.   The primary responsibility will be to provide support to a diverse group of internal and external customers at all levels of the organization.  This is an excellent opportunity for a motivated self-starter possessing a service attitude, and the ability to manage a diverse workload.

Job Description

  • Develop and maintain positive owner and tenant relationships.
  • Provide superior customer service to all tenants, clients, contractors and vendors.
  • Receive calls at management office and either handle request or direct callers to appropriate destination.
  • Greet guests and visitors to the management office and effectively deal with their concerns by exhibiting a professional, mature, courteous, gracious and efficient manner.
  • Respond politely and promptly to tenant requests, problems and complaints.
  • Organize and maintain tenant and vendor Certificates of Insurance and COI tracking report.
  • Open, date stamp, and distribute incoming mail and overnight packages; maintain confidentiality of items marked as such.
  • Upload and code accounts payable invoices in AVID and rCash.  Mail out AP checks and maintain files of paid invoices.
  • Order and maintain kitchen, office, Federal Express, copy/fax/printer, postage meter supplies.
  • Responsible for the preparation and administration of office purchase orders.
  • Take leading role in tenant service request.  Enter service requests in Building Engines work order system and track open work orders.
  • Assist in preparing, tracking and administering all service contracts.
  • Coordinate tenant requests with security team to program and delete access cards for tenants.  Audit current access card list twice a year.
  • Take reservations and schedule use of conference center.
  • Coordinate tenant events throughout the calendar year.
  • Update and maintain Tenant Handbook.
  • Ensure compliance with quarterly Management Audit.  Maintain all files and records related to the audit.  All files at the property should comply with JLL Management Audit requirements.
  • Prepare and distribute tenant correspondence regarding building holiday, upcoming events, etc.
  • Maintain daily and update no less than monthly tenant, employee and contractor’s contacts lists to include emergency contact numbers. This should also be updated no less than monthly in the properties emergency program. 
  • Provide administrative support to General Manager, Assistant General Manager, and Building Engineering.

Professional Qualifications

  • Associate or Bachelor’s degree a plus.
  • Strong written, verbal, financial, and problem-solving skills required.
  • Proficiency with all applicable software packages, including Microsoft Word, Excel and PowerPoint.  MRI, AVID and rCash a plus
  • Effective time manager – Ability to consistently manage multiple projects with accuracy and zero missed deadlines.
  • Ability able to set priorities, multitask, meet deadlines and proof own work.
